Did you know you can clean and update data for students, guardians, and staff in bulk? The Data Quality Dashboard has it covered for the win!
For those who haven’t come across this handy dandy section in Arbor you are in for a treat! From an overview showing potential data issues, to bulk editing allowing for smooth data updates, this is the go-to space for ensuring key data fidelity of students, guardians, and staff. Let’s get into it and make managing your data easier!
So What Can It Do?
When first coming into the dashboard (found in School / Data / Data Quality Dashboard):
It is straight into overviews of key areas of data. It’s a three for three - broken down by student, guardian, and staff, with an overview of the contact data covering email, telephone number and postal address.
The nifty bit: This data overview is divided up into errors, incomplete and warnings, all tallied up to give you a quick heads up of the quantities of data that Arbor recommends need looking into.
Getting further into the dashboards with a bit of scrolling and you’ll find that there is so much more you can do, not to mention all that magic in the left-had menu which allows access for bulk updating. Some highlights include the Suspected Duplicates dashboard, Student Demographics, and Student Record Changes.
Speaking of student record changes, found right at the bottom of the dashboards this is where we would recommend you start! If a guardian has made a request for changes through the Parent Portal they might be providing the information to resolve some of that flagged data. Thank you! A quick check and approval here could reduce numbers elsewhere.
Cleaning Your Data
By using the Bulk feature multiple students can be selected simultaneously and then updated collectively. It’s perfect for when you need to update a selection of student’s ethnicity’s or change a selection of phone numbers to a particular type like from work to mobile for example.
P.S. When sorting errors in postal addresses or email’s there’s even a bulk recheck drop down, so you can revalidate your data.
When working though the dashboards cleaning the data you might need to dig a little deeper to resolve errors. Like with the Suspected Duplicates dashboard, which reviews potential duplicate profiles that need resolving and nicely has duplicate email addresses separated out as well. It’s possible to review the similar profiles, which Arbor helpfully shows side by side with highlighted differences, and then profiles can be merged, kept separate or one of them deleted. This can clear a multitude of data errors, which means I’m a big fan!
But what if that information is right?
Don’t Ignore ‘till you’re sure! Get the error resolved and errors won’t need to be ignored. Though where they can Arbor have tried to help, like with addresses, and duplicate profiles.
With the few remaining errors, you can select them, bulk update, and bulk ignore.
Now that all of these areas have been reviewed, and updated or resolved there should be beautiful clean data!
