School Census - Spring 2023

What you need to know : New information required for this years Spring School Census

What is the School Census?


All state funded schools within England have to provide data and statistics to the DfE 3 times a year in what is called the Census, this is a statutory requirement.

This enables national statistics to be produced, and also affects your schools funding.

Note: Stand alone nursery or post-16 schools in England, along with Isle of Man schools are not required to do this.



Your MIS and the School Census


Most MIS allow for dry runs of your School Census prior to submission

- Arbor's opened on 5th Jan 2023

This allows for you to "unofficially" run your Census and resolve any issues prior to the day.

Arbor also allows you to resolve any queries or errors in batches (saving a lot of time) and run the dry run census option multiple times in advance giving you the cleanest data possible.


-19th January 2023 is the School Spring Census 2023 - this is the day that the snap shot of your schools data will be regarding.


- 15th February 2023 DEADLINE for the Census submission (unless otherwise stated by your local authority)



What's new with the 2023 School Census?


There are a number of areas that now require reporting on in the Spring 2023 School Census:


1) Young Carers

Students who are young carers need to be recorded, along with whether the school or a parent / guardian identified if the student was a young carer.

2) Alternative Provision Placements (APP)

Students who have APP at other establishments will need details of who and where the APP provider are. As some students have multiple placements, both full and part time at multiple locations, all of this will need to be recorded for the Census period.

3) (Optional) Weekly Open Hours for Schools

Starting in this Census, you can optionally provide the details of your open hours for your school students attendance. However this is not a requirement for the Census at this time.

4) PRU or Alternative Provision Only

PRU's and Alternative provisions will need to include reporting on if they have provision for the following moving forward: Child Mothers, Teenage Mothers' placements, and if there are childcare facilities.

The DfE - Department for Education Guidance


The DfE are in charge of the Census and have provided great guidance and overall information regarding completing the census, error codes, codes in general and how to's.

Dry Run, Census Day and Submission


What now?

1) Dry Run - Prepare your data, Watch the dry run webinar (Arbor), Complete the Preparation checklist, Run a Dry Run, Resolve errors in batches and regenerate Dry Run as much as needed.

2) Census Day - Run your Census Day Return, Add in your on-the-day information.

3) Submission - Check your Census Return, Download the Census to your computer, Upload Census to COLLECT, Complete the Completion checklist.
